Privacy Policy

We handle sensitive business, medical, and financial information every day. This policy explains exactly what we collect, why we need it, who we share it with, and the control you keep over it.

Who we are

Empire Financial Solutions (“Empire,” “we,” “us”) is an independent insurance and financial services firm serving business owners. We place employee group benefits, life insurance and premium finance, property and casualty coverage, captive insurance programs, and life settlement transactions.

This Privacy Policy explains what information we collect through empirefinancialsolution.com and in the course of providing our services, how we use and share it, and the choices available to you.

Information we collect

We collect only the information we need to respond to your inquiry and to evaluate, place, and service insurance programs.

  • Information you give us: name, business name, email address, phone number, the solution you are interested in, and any details you include in a request form or email.
  • Business and program information: current carrier and plan details, census or headcount data, claims and loss history, and financial or policy documents you choose to share with us during a review.
  • Sensitive information, only when required: for life insurance, premium finance, or life settlement work, an insurer or funder may require date of birth, Social Security number, medical history, or financial statements. We collect this only when it is necessary for a transaction you have asked us to pursue, and generally through the carrier's or funder's own secure application process.
  • Website and device information: IP address, browser type, pages visited, and referring pages, collected automatically to keep the site secure and understand how it is used.

How we use your information

  • Respond to requests, schedule conversations, and prepare a program review or proposal.
  • Market your risk to insurance carriers, wholesalers, funders, and life settlement providers on your behalf.
  • Complete applications, underwriting, placement, servicing, renewals, and claims support.
  • Meet legal, licensing, anti-fraud, anti-money-laundering, and recordkeeping obligations.
  • Maintain the security and reliability of our website and systems, and communicate service or policy updates.

How we share your information

We do not sell your personal information, and we do not share it with third parties for their own advertising purposes.

  • Insurance carriers, wholesalers, general agents, third-party administrators, captive managers, premium finance lenders, and life settlement providers — as needed to quote, place, or service the coverage or transaction you requested.
  • Service providers that support our operations, such as email delivery, document storage, and website hosting, under confidentiality obligations.
  • Professional advisors you direct us to work with, such as your CPA, attorney, or broker of record, with your authorization.
  • Regulators, law enforcement, or other parties when required by law, subpoena, or to investigate suspected fraud.

Life settlement and life insurance information

Life settlement transactions involve especially sensitive information. When we act as a life settlement broker, we represent the policy owner. Medical records and policy information are released to prospective providers only under a signed authorization from the insured and policy owner, and are used solely to obtain and evaluate offers for that transaction.

You may revoke a records authorization at any time by contacting us in writing, subject to disclosures already made in reliance on it.

Protected health information

In connection with employee group benefits and group health work, we may receive information that is protected health information under HIPAA. We handle that information in accordance with HIPAA and applicable business associate obligations, limit access to individuals who need it to do their work, and use it only for plan administration, placement, and servicing purposes.

Cookies and analytics

Our website uses only the cookies and similar technologies needed to operate the site and to measure aggregate traffic. We do not use cross-site advertising trackers. Most browsers let you block or delete cookies; blocking them may affect how parts of the site function.

How we protect information

We use administrative, technical, and physical safeguards designed to protect personal information, including encrypted transmission of website form submissions, access controls limited to personnel with a business need, and vendor diligence. No method of transmission or storage is completely secure, so please avoid sending Social Security numbers, medical records, or other sensitive documents through unsecured email; ask us for a secure method instead.

How long we keep information

We retain client and transaction records for as long as we service the relationship and afterward for the period required by insurance regulations, carrier and funder requirements, and applicable law. Inquiry information that does not become a client relationship is retained only as long as needed for follow-up and recordkeeping.

Your choices and rights

  • Request access to, correction of, or deletion of personal information we hold about you, subject to legal and regulatory retention requirements.
  • Opt out of non-essential email from us at any time by replying with a request to unsubscribe; we may still send communications necessary to service an active policy or transaction.
  • Ask us how your information was shared with a specific carrier, funder, or provider in connection with your program.
  • Residents of states with comprehensive privacy laws may have additional rights, including the right not to be discriminated against for exercising them. We honor these requests regardless of your state of residence where practical.

Financial privacy notice

As a financial institution under the Gramm-Leach-Bliley Act, we are required to tell you how we handle nonpublic personal financial information. We collect it only in connection with services you request, share it only as described in this policy or as permitted by law, and restrict access internally. We do not disclose nonpublic personal information about former clients except as permitted by law.

Children's privacy

Our website and services are directed to businesses and adults. We do not knowingly collect personal information from children under 13. Dependent information provided as part of a group benefits census is handled as plan administration data, not as direct collection from a child.

Changes to this policy

We may update this Privacy Policy to reflect changes in our practices or the law. The revised version will be posted here with a new “Last updated” date. Material changes affecting how we use information will be communicated to active clients.
